How Mana keeps your information safe online

This article explains how we protect your information, what standards we meet, and what centres can do to stay safe online.

We take online safety and information security seriously, especially because the stories, photos and observations you share on Mana are about children, families and educators.

Strong security compliance

Mana’s systems are built to protect every photo, message and record that’s shared.
We use industry-leading standards for data protection and privacy- the same ones used by major banks and healthcare providers.

Mana is certified or aligned with:

  • ISO 27001:2022 - Information Security Management
    Ensures strong processes for keeping information safe and preventing unauthorised access.

  • ISO/IEC 42001:2023 - Artificial Intelligence Management
    Sets global standards for how AI is designed and used responsibly.

  • SOC 2 Type I & Type II - Independent security and privacy audits
    Confirms that our controls work effectively, in design and practice over time.

  • Child Safe (self-assessed)
    Aligned with the Australian Child Safe Principles, ensuring our design and practices keep children’s safety and dignity at the centre.

  • Ethical AI
    Our AI features are built to be transparent and responsible, we don’t use children’s data to train external AI models.

What this means for your centre

  • Data in Mana is encrypted at rest and in transit.

  • Access is role-based, so only authorised staff and family members can view children’s information.

  • When an educator leaves your service, their access is automatically removed.

  • Families have control over their child’s presence on the platform and what is shared.

  • Information stays within the secure platform it can’t be publicly searched or indexed.

Media privacy

Mana limits downloading and copying of media such as photos where possible. However, like most digital platforms, it’s still technically possible for someone to take a screenshot or photo of a screen.

That means:

  • It’s important to remind staff and families not to share screenshots or images outside the platform.

  • Centres should include screenshot awareness in their digital safety or privacy policy.

Shared responsibility

Security is a shared effort. Mana protects your data technically and organisationally but safe behaviour by staff and families is just as important.

We recommend:

  • Use strong, unique passwords.

  • Keep login details private.

  • Remove access promptly when someone leaves the centre.

  • Only upload media with the right consents.

  • Talk openly with families about online safety and how Mana helps keep their information private.
