Configuring Team Settings

How to select writing styles, philosophies, and frameworks that reflect your centre's documentation.

Setting up your team’s writing style, educational philosophy, and framework preferences in Mana helps ensure consistency across all documentation. Follow the step-by-step guide below to configure your team settings.

1. Access Team Settings

  1. Click on your centre profile icon (top-right corner above home).

  2. Select Settings from the popup menu.

  3. Once in settings, select the Team Settings tab and scroll to Team Learning.

2. Set the Writing Style

Mana allows you to define a default writing style that reflects the tone and structure of your service’s documentation.

  1. Scroll to the Team Learning section and click Writing Style.

  2. On the following screen, next to Team writing style, click Edit.

  3. Paste in a sample learning story or documentation excerpt that best represents the style you want your team to follow.

This writing style will now guide all auto-generated documentation across your team.


3. Define Your Service Philosophy

Your team’s educational philosophy can also be embedded into Mana’s documentation flow.

  1. Scroll to the Team Learning section and click Team Philosophy.

  2. On the following screen next to Team Influences click Edit.

  3. Either select an existing philosophy from the list or to create your own click Custom.

  4. If selecting custom, now enter your service’s philosophy.

This will ensure your values and approach are reflected in every learning story, report, and observation.


4. Choose a Learning Framework

  1. Scroll to the Team Learning section and click Team Frameworks.

  2. On the following screen next to Team learning framework click Edit.

  3. Choose the appropriate national or regional framework for your service:

    Note: The EYLF is included in VELDYF and QKLG, so you do not need to select EYLF as well, it will automatically apply to children under 3 years.

    • For example, selecting QKLG for long daycare will apply to children over 3 and EYLF will apply automatically to children under 3 if relevant.

You can select just one if it covers all age groups for your service.


5. Set Your Service Type

  1. Also in the Team Frameworks section, next to Service Type, click edit.

  2. In the popup, select the one that best applies to your organisation.

6. Configure Your Team's Coaching Settings

Mana’s Coaching Settings let you tailor how much thinking an educator needs to do before the AI generates a document draft during a coaching session.

  1. Scroll to the Team Learning section and click Coaching.

  2. Under Coaching Quality Threshold, click the dropdown

  3. Choose the level that best suits your team’s needs:

    • Low (40%): Faster draft generation, with minimal reflection required.

    • Medium (60%): Balanced—encourages more thought while still moving quickly.

    • High (80%): Slower generation, but promotes deeper educator reflection and richer documentation.

This setting determines how much progress an educator must make before the AI creates a draft. Higher thresholds mean more guidance and better thinking—perfect for teams focused on developing documentation skills.
