How to navigate the new Docs page

The Docs view is Mana’s new all-in-one space for creating new documents and document searching.

This article walks you through how to create documents, use Coach Sue, apply magic edits, and manage your documentation with ease.

Choose how you would like to write when you first create a document:

Note: You can then change the type for each document by selecting through these options from the top right corner drop down menu.

Step-by-Step to create a document:

1. Access the Docs

  • Go to the Docs tab from the left-hand menu.

  • Choose the type of document you want to create (e.g. Learning Story, Observation, Plan).

2. Start a New Document

  • Select the document type you want.

  • Choose a child:

    • If the child hasn’t been created yet, you can create them on the spot.

  • Begin entering your content:

    • Upload photos or videos

    • Record your voice

    • Type directly in the text box

3. Write with Support from Coach Sue

  • As you start typing, if the input isn't complete, Coach Sue will open a conversation to guide you.

  • Answer prompts related to observation, assessment, and extension.

  • Once your input reaches 80% completion, the Generate button will unlock.

  • Click Generate to create a high-quality document.

4. Review and Edit

  • Use the panel on the right to see:

    • Your original text

    • Observed, created, and last modified dates

    • The journey the document belongs to (create or move if needed)

  • Click Edit to:

    • Add or change text

    • Upload media (images, videos, PDFs)

    • Use formatting and layout tools

5. Use Smart Document Tools

  • Use the Magic Edit bar to make instant text changes (e.g., rewrite, remove subheadings).

  • Translate your document into any available language with Translate.

  • Use Fix Grammar & Spelling if you wrote the doc without AI.

  • Click History to restore previous versions at any time.

6. Add a Follow-Up

  • Click Follow-Up to choose a next step (e.g., experience plan, observation).

  • This opens the document in Guided View, directly linked to the child's journey.

View Document History & Filter

  • Click View History to browse documents by date (e.g., today, last 30 days).

  • Use the Filter icon to search by child or group, helping you find relevant documents fast.
