Using Restricted Mode

Understanding Mana's Restricted Mode feature and how to enable it across your Organisation and associated Teams

Why we introduced Restricted Mode

  • Mana has been designed so that everyone working from a Team in Mana can see all documents / work done by other members of that Team (with the exception of private coaching sessions and individual work done on Mana Grow journeys).

  • This helps when people take sick leave, for example, so that the broader team can easily pick up their work.

  • However, there are circumstances or certain organisational structures where you might prefer restricting what people (Members) within a single Team see within that Team on Mana.

  • For example, if your Team on Mana is a region of home-based educators who each have their own "Home" group in Mana, you might only want them to work within their own Home group and not have access to the work done in other Homes.

  • Managers retain access to all work regardless of whether Restricted Mode is on or not.

  • If you would like to restrict your team to only seeing work on Mana within their Room/Home group, please follow the below steps.

Enable Restricted Mode

You will need to enable Restricted Mode by going into each Team in Mana and repeating each step below.

  • Open your Mana profile settings

  • Under Team, click Management

  • Select Allocations and access (pictured below).

  • Toggle Restricted educator access on for your Team by clicking on the dial. A pop up will appear as pictured.

  • Select Turn on

  • Give the system a moment to activate restricted mode. When restricted mode is on:

    • Educators only see and act on their allocated children and rooms.

    • They cannot see documents for other children or other rooms.

  • You can also use this screen to Manage Child Allocations. Select Manage Child Allocations and then click on statuses showing Unassigned to assign educators/teachers to children where a child is missing someone being assigned to them.

  • Children can have more than one educator/teacher assigned to them.

  • Similarly, you can also use this screen to Manage Room Allocations. Ensure you have assigned your educators/teachers to relevant Groups they need to be in to see, edit and create relevant documentation.
