Managers can review and assign the educators responsible for each child in Settings → Team Management → Allocations & Access. Use the centre’s allocation settings to decide whether managers coordinate key children or educators choose their own.
Key children make responsibility visible while the wider team continues to contribute. Central allocation gives your centre a way to check how that responsibility is shared; it is a choice about organising your team’s work.
Review your centre’s allocation settings
Make sure you are in the correct centre account.
Open your profile menu and select Settings.
Under Team Management, select Allocations & Access.
When Manage child allocations centrally is on, managers make key-child allocations and educators cannot choose their own key children. When it is off, educators can manage their own key children where their access permits. Restricted educator access is a separate setting and can also prevent self-assignment.
Turning on central child allocation does not itself turn on restricted educator access. Review each setting for its own purpose.
Example configuration: central child allocation is on and restricted educator access is off. Your centre’s settings may differ.
Assign key educators to a child
Use Manage Child Allocations to open the Key Educators page. This page is for managers and owners with the required team access.
Search for the child. In the child list, select the child or Manage educators in their Actions column.
In Manage Key Educators, select the educators who should be allocated to the child. Keep existing educators selected if they should remain allocated.
Select Save Changes.
Check the child’s Key Educators column shows the intended educators.
You can assign more than one key educator to a child. If saving reports a problem, review the message and the displayed allocations before trying again; do not assume the change was saved.
Check for children without a key educator
On the Key Educators page, use Unassigned to review active children without a listed key educator. Use All to return to the full active-child list, or search for a child or educator.
How do allocations affect access?
If your centre has Restricted educator access on, child and Room allocations help determine which children you can see and work with. Access can come from a direct child allocation or an allocated active Room. Ask your manager to check your allocations if a child you work with is missing.
A child’s Room membership and an educator’s key-child allocation describe different relationships. Changing one does not mean the other has been updated. Review both when responsibilities change.
