Process of adding, removing and managing key children

Overview

You can add, edit, remove, or assign children in Mana depending on your role and team settings.

Managers can control whether educators can manage children directly by toggling the Enable Key Educator Management setting in team settings.

Add a child

  1. Go to the Journeys tab.

  2. Click + Add Child in the top right.

  3. Enter the child’s name and month of birth.

  4. Click Add Child.

You’ll see the new child appear in your child list right away. No additional steps needed to get started.

Mana requests a date of birth from users to tailor age-appropriate activities, experiences, and developmental milestones for children. This information enables us to customise our offerings to align with each child's stage of development.


If you have privacy concerns, please take a moment to review our Privacy Policy on our website. We want to assure you that you have options regarding the information you share with us. You are not required to provide an accurate date of birth; instead, you can simply use the first day of the month in the year they were born, and you can choose to share only a first name if you prefer. Your privacy and comfort are important to us.

Assign or Unassign as Key Child

If your team allows educators to manage key children:

  1. From Journeys, click View All under Key Children.

  2. Use the ⭐ icons to assign or unassign key status for any child.

If this setting is disabled, only managers can assign key children via Settings > Key Educators.

Remove or Edit a Child

You can edit child info or remove a child from your active list:

  1. Tap a child to go to the child’s profile.

  2. Tap Profile, then choose Edit next to any field.

  3. To remove or delete a child, tap the Status button.

  4. Choose:

    • Active – visible and editable

    • 🟡 Inactive – hidden but restorable

    • 🔴 Deleted – permanently removed and cannot be undone

Manager-Only Settings

To restrict key child management to managers:

  1. Go to Settings > Team (tab).

  2. Turn on Enable Key Educator Management.

  3. Managers can now assign educators via the Key Educators page.

If this setting is enabled, only managers can assign key children via Settings > Key Educators.
