Add Children and Mark Key Children

Use this guide to add children and understand the child-profile and key-allocation tasks available to your role.

Overview

You can add, edit, remove, or assign children in Mana depending on your role and team settings.

Managers choose how key-child allocations are managed in Allocations & Access. Allocation settings do not by themselves describe every permission to add or edit children.

Add a child

  1. Go to the Journeys tab.

  2. Select Add child.

  3. Enter the Child name. The Month of birth field is optional. If Mana shows a family-permission statement, review it and only confirm it when it is accurate.

  4. Click Add Child.

After adding the child, check their record in Journeys. If Mana reports a problem, review the message before trying again. A child’s creation and their key-educator allocation are separate things to check.

Choose or remove a key child

Key-child allocations identify the educators who take particular responsibility for following a child’s learning. When Manage child allocations centrally is on, managers make key-child allocations and educators cannot choose their own key children. When it is off, educators can manage their own key children where their access permits. Restricted educator access is a separate setting and can also prevent self-assignment.

  1. Open Journeys and find the child using Search children.

  2. Open the child’s three-dot menu.

  3. Select Add to key children to add yourself, or Remove from key children to remove your own allocation.

The directory shows Key children, or Your allocated children when restricted educator access applies. If the menu does not offer either action, ask your manager to check how your centre manages allocations. See Choose your key children.

View or update a child’s profile

Open Journeys, find the child and select Profile from the child’s three-dot menu. Select an editable value in the profile to change it, then use Save or Cancel. Some fields may be managed by your centre’s integration.

Remove from key children changes your allocation; it does not delete the child or their Journey. Changing a child’s Status is a separate task. For a child who has left your centre, review the child status guidance before making a change.

Managers can open SettingsTeam ManagementAllocations & Access.

Select Manage Child Allocations to review or change the key educators assigned to children. See Manage key-child allocations for the full procedure.
