A child's Profile in Mana brings together their details, rooms, family information and learning links. In Mana on the web, educators can open the Profile from Journeys → the child's three-dot menu → Profile. Available sections and editing controls depend on your access and the features enabled by your service.
Update a child's details
In the child's Profile, select the child's displayed name to open its editor, or select the profile picture to open the image picker. Choose an avatar, then select Use image, or choose Upload your own to use an image file. In Info, select a field to open its inline editor:
Month of birth records the child's month and year of birth.
Gender and Pronouns let you choose the appropriate available value.
Use Save to keep a field change, or Cancel to leave the current value. The field returns to its display view after saving. If an error appears, check the message before trying again.
If the child's identity details are managed by a connected system, those fields may be unavailable for editing in Mana. Follow your service's process for updating the source record rather than creating another child profile.
Understand the child's Status
Profile → Info → Status shows whether the child is Active, Inactive or Deleted. A child's Status is separate from whether an individual Journey is open or completed.
Changing a child's Status can affect their place in current room workflows. Before changing Status, follow the child status guide and read the confirmation for the selected action. For an inactive child returning to your service, use the reactivation guide.
View the child's rooms
The Rooms section of a child's Profile shows their current room memberships. Open the room row to manage those memberships where your access allows it.
A room identifies the child's group. Key educators identify who takes particular responsibility for following the child's learning. When a child changes rooms, agree with your team who will continue that responsibility; changing room membership is a separate task from managing educator allocations.
Follow the room membership guide before adding or removing rooms, including any effect shown for current Program plans.
Open family access
In the child's Profile → Family section, select Manage family access. This opens the same family-access page as Family sharing in the child's Journeys menu.
Opening family access does not invite anyone. Use Invite a parent or family member to a child's Mana profile for the invitation and access steps.
Read All About Me
When your service enables All About Me, the child's Profile can show the family's initial discussion and response. This helps you bring the family's knowledge of the child into your understanding of their learning.
Initial discussion shows its current status. Select Review chat when an existing discussion is available. Family response displays the information the family has shared; it is not an instruction for an educator to answer on the family's behalf.
If All About Me is not shown, check with your manager whether the feature is enabled. Read What is the All About Me feature? for its purpose and related guidance.
Find the child's learning
The Learning section of a child's Profile provides three routes:
Journeys: opens the child's Journey list with Open selected. Change the status filter to Completed or All to look for earlier Journeys.
Spontaneous Moments: opens the child's Spontaneous Moments history. Check the selected period if the view is empty.
Recent documents: opens document History with this child selected. Use Today, Last 30 days or Over 30 days and the available filters.
Unlike Spontaneous Moments, the child filter in document History can be changed. Check that the intended child is still selected when looking for their work.
