How do I delete or inactivate a child's profile?

Guidance on deleting/inactivating a child's profile in Mana

Use Inactive when a child has left your service or is away for a long period. This removes the child from the default active directory so the team can focus on children currently attending.

Make a child inactive

  1. Open Journeys and find the child with Search children.

  2. Open the child’s three-dot menu and select Profile.

  3. Under Info, select Status.

Child Profile Status editor showing Active, Inactive and Deleted choices with Cancel and Save.
  4. Choose Inactive, then select Save.

  5. Read the confirmation and its effect on the child’s current Rooms. Select Make inactive to continue, or Keep child active to cancel.

What changes when a child becomes inactive?

Changing a child to Inactive removes their current Room memberships. Reactivating the child later does not put those Rooms back automatically, so the child’s Rooms need to be checked and reassigned.

To find the child again, open Filter and sort children on Journeys and turn on Show inactive and deleted. See How do I recover a child that was made inactive? for the reactivation steps.

What about Deleted?

The Profile also offers a Deleted status. For a child who has left your service, choose Inactive. For a permanent data-removal request, contact the Mana team so the request can be checked separately; changing a Profile status is not a promise that every linked record has been permanently erased.

If you cannot change the status

Ask a manager or owner to check your access. If Mana shows an error, keep the message and contact Mana for help rather than creating another copy of the child.
