How to enable Families and invite parents or family members

Enable Families for your service and invite parents or family members to a child’s Mana profile with the right access.

Mana gives families a way to follow their child’s learning, share moments from home and stay connected with educators. This guide explains the service setup in Mana on the web.

Families join Mana through an invitation from their service. Downloading the app alone does not give a family access to a child.

You will need:

  • an Owner or Manager account to manage Families settings

  • the child already added to Mana

  • the family member’s preferred email address

  • the appropriate access for the person: Full access or View and discuss

Enable Families

  1. Open your account menu and select Settings.

  2. Select Families under your team’s features.

  3. Check Families Feature. If it is off and you are authorised to enable it, turn it on and confirm Enable.

  4. The separate Families 2 setting selects the updated family experience where that choice is available.

Owners and managers manage these settings. If the setting is managed by your organisation, ask your organisation lead to make the change.

Open the child’s Family sharing page

  1. Open Journeys and use Search children to find the child.

  2. Open the child’s three-dot menu and select Family sharing.

You can also open the child’s Profile and select Manage family access under Family.

Invite a parent or family member

  1. Select Invite. The Invite family dialog opens.

  2. Enter the person’s email address in Email.

  3. Under Access, choose Full access or View and discuss.

  4. Check the address and access, then select Send invite.

  • Full access — can update the child’s details and invite others to edit or view the child.

  • View and discuss — can view shared information and join available discussions.

If your invitation opens a Share profile dialog, choose Parent for editing access or Viewer for viewing and discussion access, then select Invite.

What happens next?

The person receives an email invitation to join the child’s profile in Mana. They need to create or access their Mana account using the email address that was invited. If the wrong address was used, send a new invitation to their preferred address.

If your service uses Families 2, check Waiting to join and Connected on the child’s Family sharing page to see whether they have joined. Family access applies to information shared with them; an invitation does not make every document or discussion available.

Common invitation issues

  • No invitation received: check the email address and ask the family to check their junk or spam folder. Use the pending invitation’s resend option where available.

  • No access to the child: confirm the invitation was accepted using the invited email address.

  • Wrong access: check the person’s current access on the child’s Family sharing page. Select their current access level to change it where available. Contact Mana Support if you cannot make the change.
