Docs are designed to provide a space where you can efficiently create learning documentation in just a few minutes. This article walks you through how to create documents, use Coach Sue, apply magic edits, and manage your documentation with ease.

Step-by-step guide on creating documents in Mana

Access the Docs tab

  • Go to the Docs tab on your left-hand menu/navigation panel

  • Choose the type of document you want to create (e.g. Learning Story, Daily Diary)

Select your writing mode

  • Choose how you would like to write when you create a document

  • You can adjust this writing mode for any document you develop in Mana

    • Click the writing mode in the top right hand corner to switch between writing modes the type for each document

Start writing

  • After you have selected the document type you want, choose a child:

    • If the child hasn’t been created yet, you can create them on the spot

  • Begin entering your content to develop your document. You can:

    • Upload photos or videos

    • Record your voice

    • Type directly in the text box

Access support from Coach Sue

  • As you start typing, if the input isn't complete, Coach Sue will open a conversation to guide you

  • Do your best to answer Coach Sue's prompts related to observation, assessment and extension

  • Once the quality of your input reaches the required level, the Generate button will unlock

  • Click Generate to create a high-quality document

Review and Edit

  • Use the panel on the right to see:

    • Your original text

    • Observed, created, and last modified dates

    • The journey the document belongs to (create or move if needed)

  • Click Edit to:

    • Add or change text

    • Upload media (images, videos, PDFs)

    • Use formatting and layout tools

Use smart document tools to finalise your document

  • Use the Magic Edit bar to make instant text changes (e.g., rewrite, remove subheadings)

    • This shows up as "What should I change?" in the centre of your document screen

  • Translate your document into any available language with Translate

  • Use Fix Grammar & Spelling if you wrote the document without AI

  • Click History to restore previous versions at any time

Add a Follow-Up

  • Click Follow-Up to choose a next step (such as an experience plan, observation)

  • This opens the document in Guided View, directly linked to the child's journey

View document history & filter

  • Click View History to browse documents by date

  • Use the Filter icon to search by child or group, helping you find relevant documents fast
