Manage Team Members

If you're a Manager, you can invite, edit, or remove team members in your Mana team account.

It’s crucial to ensure that everyone is properly set up and has the right access, this helps your team work smoothly and keeps your documentation secure.

Use the steps below to check who’s on your team, update their roles, or invite someone new.

Access Team Settings and Member Settings

  1. Tap your profile icon in the top left corner of Mana.

  2. Make sure you’ve selected the correct team (you’ll see a purple "Team" badge if you're in a team account).

  3. Tap Settings.

  4. Go to the Team tab and select Team Members.

Check member statuses

Once you're in the Team Members section, you’ll see:

  • A list of all members who have been invited to your team.

  • Tags that show their current role:

    • Invited = they haven’t accepted the invite yet.

    • No tag = they’ve joined successfully.

  • A role dropdown showing if they're a:

    • Member – can use Mana but not change team settings

    • Manager – can manage team settings and members

Invite new members

  1. In the Team Members section, tap the + Invite button.

  2. Enter the person’s email address.

  3. Choose whether they should be a Member or a Manager.

  4. Tap Invite.

The person will receive an email with a link to join your team.

Adjust team roles

You can change someone’s role at any time:

  1. Find the person in your Team Members list.

  2. Use the dropdown next to their name to change them from Member to Manager (or vice versa).

  3. The change applies instantly.

Only Managers can promote or demote roles.

Remove team members

If someone is leaving your service or no longer needs access:

  1. Tap the dropdown next to their name.

  2. Select Remove from team.

  3. Confirm the action.

⚠️ Their access will be removed, but all their documentation will stay linked to the children they worked with.
