Activating Mana as a teacher or educator within a centre

Getting started for teachers and educators

Welcome to your Mana journey! We are a team of educators, just like you. We know what it feels like to juggle endless admin and manage busy rooms, all while driving quality learning outcomes for children. That's why we built Mana: a tool made for educators, by educators.

You are at the heart of this journey. Mana is designed to support you: to make your work easier, your days smoother and to free up more time for the best part of the job: nurturing children's learning and growth. Every feature in Mana has been shaped with your role in mind.

This guide is for teachers and educators who have been invited to their centre's Mana account. It will walk you through everything you need to get yourself Mana-ready. To get the most out of your Mana training, we recommend completing the steps in this guide before your centre's session.

💡 Not the right guide for you? If you're a Centre Manager setting up the centre itself, use Activating Mana as a single centre or Activating Mana at a centre level (centre-led activation). If you're a parent or family member, use Activating Mana as a parent or family member.

You will need:

  • access to your email

  • access to the internet

  • a sample of your writing (i.e. a learning story or daily diary) that best sounds like you

Step 1: Join your centre in Mana

To get started, you'll need to join your centre's Mana account.

  • Option A: If you're new to Mana, you'll create your account from the invite email sent by your centre.

  • Option B: If you already have a Mana account, you'll simply sign in and accept your centre's invitation from your settings area.

✅ Option A: Accept your invitation to join Mana as a new user

  1. You will receive an email titled Join [your centre's name] on Mana

  2. Within this email there will be a purple button titled Sign in to Mana: click on this button

  3. You will be asked to provide your email address to commence creating your account in Mana.
    ⚠️ Create your account using the same email address that you were invited to Mana with so that you can immediately access the team you have been added to.

  4. Set up your password for using Mana
    ⚠️ Your Mana password must be at least 12 characters long and include an uppercase letter, a lowercase letter and a numerical digit.

  5. You will be asked to verify your email account.

  6. Go to your email and open the verification email sent to you by Mana Security and tap the link to verify your email address.
    💡 The verification email usually arrives within a few minutes. If you can't find it, check your junk or spam folder. Still nothing? Ask your manager to re-send your invitation, or email [email protected].

  7. Back in the Mana app, you can now tap Confirm Verification to continue.

  8. Next, you'll be asked to accept your invite to join your teammates. Tap accept to continue.

  9. Next, you will be asked to provide your First Name and Last Name.

  10. Lastly, you can select your teaching philosophy.

  11. After you provide this information, you will be taken to your Docs page. Welcome! If you can't see your centre's team after signing in, check you used the invited email address, then ask your manager to re-send the invitation.

✅ Option B: Accept your invitation if you already have a Mana account

💡 Don't have an account? Scroll back up to Option A

⚠️ Make sure you log into Mana with the same email address that you were invited to the centre with to view and accept your invitation.
⚠️ If you were invited to Mana with a different email address, you should either:
Create a new Mana account using the email address you were invited with; OR
Ask your Manager to re-issue the invitation to your preferred email address

  1. If you were invited to Mana with the same email address that you used to sign up for Mana with, log in to Mana as normal

  2. Click on your profile icon.

  3. Select Settings

  4. Under your personal tab, select Invitations

  5. Click Accept next to the invitation.
    Once accepted, your centre's team will appear in your account switcher. If no invitation is listed, it was likely sent to a different email address — ask your Manager to re-issue it.

Switching between your Mana profiles

💡 You can switch between your Personal, Team, or Parent account at any time:

  1. Click on your profile icon.

  2. Select Switch.

  3. Choose the account from the drop-down menu, or search for it using the search bar.

  4. Click on the account to switch.


Step 2: Personalise Mana

  1. Tap your Team Profile icon in the top left corner of your screen

  2. In the popup, select Settings

  3. In settings, make sure your Personal tab is selected (if applicable)

  4. Under the Learning section you will find options for your personal settings.

Complete your Teaching Profile

Complete your Teaching Profile so Mana knows about you. Add a bio to tell Mana all about yourself.

Update your country, teaching roles and primary learning framework by selecting Edit. These will then inform the Professional Frameworks that apply to you.

In your Teaching Profile, personalise Mana to your teaching philosophy

We recommend selecting Custom and providing a personalised teaching philosophy that best represents your approach to teaching and educating.

Under 'Writing Style', personalise Mana to your writing style

Provide a sample of writing that you are proud of and provide instructions to Mana on how you like to write.

Success check: when your Teaching Profile, philosophy and writing style are saved, Step 2 is complete — documents you generate will now reflect your voice.

Step 3: Star your key children

Your key children are the children whose planning you are responsible for in Mana. How they're assigned depends on how your centre leadership has chosen to manage this — follow the option that applies to you.

Option A: Confirm all of your key children are appearing as expected (if your centre leadership have assigned children to you)

  1. Go to Journeys

  2. In the Key Children section tap View All

  3. If there are any children missing from your Key Children, get in touch with your Ed Leader/Centre Manager.

Option B: Star your key children in Mana (if your centre leadership expect you to self-manage this)

  1. Go to Journeys

  2. In the Key Children section tap View All, OR select Choose from existing children if you don't have any children assigned to you

  3. Use the ⭐ icons to assign or un-assign the key status for any child.

Success check: your key children all appear in the Key Children section of Journeys. If a child is missing from the list entirely, they may not have been added to your centre yet — ask your Centre Manager.

Step 4: Mark your key rooms

Your key rooms (called Key Groups in Mana) are the rooms or groups you work in, so Mana shows you the right group programs.

✅ Confirm your key room or rooms have been marked in Mana

  1. Go to Curricula

  2. In the Key Groups section, tap View All, or if you don't yet have a key group tap Choose from existing groups

  3. Use the ⭐ icons to assign yourself to the relevant groups and rooms in Mana.

Success check: your room/s appear in the Key Groups section of Curricula. That's it — you're Mana-ready for your training session! If your room doesn't exist yet, your Centre Manager may not have set up rooms — send them a nudge.
