How to share documentation with families

Share or unshare an individual document from a child’s Journey.

Share a Journey document with the families connected to the child. Families must be enabled for your service, with at least one family member who can receive shared content.

Sharing lets families view the document in Mana. Sharing does not automatically provide a downloaded or printed copy. Families using Mana Families on the web should contact your centre if they need a copy. See View photos and videos in Mana Families for the media viewer and download message.

Share a document

Open Journeys and choose the child.

Select Share.

Check recipients

2. Preview as family.

3. Share when ready.

1. Back returns to Share doc.

Share and check delivery

Select Share with family or Share for [number] children. Wait for Delivered to families. Use Check status or Retry delivery if shown.

Share doc after delivery to the demo child’s family. 1 marks Delivered to families; 2 marks Stop sharing.

1. Delivery confirmed.

2. Stop sharing.

Stop sharing

Reopen the panel using Shared and select Stop sharing. Wait for it to finish. This stops sharing the document; it does not remove a family member’s access to the child. A document can’t be edited while it’s shared. To change it, stop sharing it, make your edits, then share it again.

If no family can receive the document, use Manage family sharing or ask your centre administrator to check access.

If Families isn’t turned on

Families doesn’t need to be turned on to use Journeys. Sharing works only when Families is on for your centre. If it isn’t, the sharing panel explains why:

Family sharing is disabled: someone who manages your centre’s settings, or your organisation administrator, needs to turn on Families. If Families isn’t included in your centre’s plan, it has to be added first.

Families is being set up: sharing will be available when setup is complete. Select Check status to refresh.

Turn on Families to share documents with families: you can turn on Families for your centre from the sharing panel.
